The Importance of Conference Room
Do you like meetings? Employees spend an average of 6 hours a week in meetings preparing for the meeting; if you are a mid-level supervisor, you will spend 14 hours; if you are a senior supervisor, it will probably take you more than 20 hours a week! Whether you like having meetings once in a while or not, meetings are the activities we must participate in the organization!
Within a week, we may also go to different conference rooms for meetings due to different projects and teams. We must clearly understand that the deployment of conference rooms has a direct impact on the fluency of the meeting and the productivity of participants. Therefore, we must take the USER as the main concern when starting to design.
Before the establishment, we might as well think about:
"Who is the user of this meeting room?"
"Is the conference technology simple enough for users to get started?"
"Can the conference display solution enable the content of the conference to be effectively communicated to the participants?
Today, we will introduce 4 meeting spaces designed for different meeting types, and how to use them:
Perhaps, there is a suitable meeting solution for your business!
Four Types of Conference Room Design
1. Phone Booth
This is a meeting space that can only accommodate one person. It provides a quiet and private space, allowing the user to conduct short video conferences or one-on-one interviews with customers. This kind of meeting room usually has the space to accommodate a small table for placing a laptop, a comfortable sofa (and maybe a cup of coffee on it!), and a meeting system that has been set up and ready to use. You will not want to call IT for help when you need to have an emergency video conference with customers!
These conference system solutions include: conference system host, video conference lens, radio microphone, and a thin and light conference monitor that will not take up space, such as GeChic M505 series monitor. Install with M505 VESA 100 aluminum alloy bracket set for standard VESA 100 x 100 wall mount brackets, and set up a simple video meeting solution which can be used by just turning on the power.
2. Huddle Space
If your office adopts an open design, then an informal small meeting space like Huddle Room is the most suitable! It can give your team a comfortable collaborative space to inspire creativity, and it is also very convenient to hold emergency meetings. Such a space is fairly easy to be built, and can accommodate up to 4 people. Generally, users will bring their laptops to participate in order to collaborate.
If there is a thin and light second monitor for laptop like the GeChic M505E portable monitor, each participant can connect the monitor to their laptop in turn and synchronize the presentation content to share relevant information with other attendees, support their discussions or give quick, informal briefings.
3. Meeting Room
This is the most common standard meeting room for enterprises. It can usually accommodate 6-15 people. It is the core place for management meetings, foreign guests, confidential commerce conferences, or business plan meeting. Formal briefing is the most common activity of this type of meeting. Setting up a dedicated digital podium with a reference monitor can help the speaker express more confidently! Connect the PC to the HDMI IN of the M505T touch screen and embed to the podium, and then output the monitor from the HDMI OUT to the projector. The speaker can watch the M505T reference monitor and operate the monitor by hand, while giving presentations. If there are lots of presenters, the data can be transferred to the podium by a USB flash drive firstly to improve the smoothness of the meeting.

4. Conference Room
The large conference room can accommodate more than 15 people. It is an important place for meeting foreign guests, executing strategic decision-making meetings, and even training for newcomers.
In such a large conference room, the clarity of the screen display is the key to whether the whole meeting is comfortable! Usually, the front and back of the large conference room are very far away, and the front screen of the conference room often cannot let the participants in the middle and back rows to read clearly. If you can place a small monitor and display a presentation in front of each participant's seat, you can increase the engagement of the participants.
Remember, all cables need to be hidden to avoid accidental touch and fall. The hidden wire design on the back of the M505 series can prevent the wire from falling off. What's more, M505 also has HDMI loop function, without the need to use HDMI signal extender, you can loop up to 14 pieces of M505 monitors. Just turn on the main power, all the looped monitors can be automatically turned on and display images. It is a simple way to speed up meeting room setup while reducing the cost of HDMI splitter.
▼ No need to bear high cost electric lift. When a general meeting is held or the display is not used, it can be folded back without disturbing the face-to-face meeting
Meetings are an indispensable stepping stone for business growth. Through collaboration, sharing different ideas with each other will encourage everyone to work unitedly together.
Tip: Reduce the difficulty & cost of construction!
Choosing a monitor with a stand, flexible plug-in form factor, and HDMI input/output can simplify the wiring design and reduce the investment cost of related matrix equipment!
